MiHT Home Energy Care (“MiHT”,“we”, “our”, or “us”) is committed to protecting your privacy and handling your personal information responsibly. This Privacy Policy explains how we collect,use, store, disclose, and protect your personal information when you interact with us, including through our Website, booking platform, diagnostic scorecard,email communications, and service delivery.
This Privacy Policy applies to all individuals who interact with MiHT, including customers, prospectivecustomers, website visitors, scorecard participants, and property managers.
We comply with the Privacy Act 2020 (NZ) and the Information Privacy Principles (IPPs). We also take reasonable steps to comply with applicable international data protection requirements where our third-party service providers operate outside NewZealand.
1. Definitions
In this Privacy Policy, unlessthe context otherwise requires:
“Personal Information”means information about an identifiable individual, as defined in the PrivacyAct 2020.
“Website” meanswww.miht.co.nz and any associated subdomains or pages.
“Booking Platform” meansthe online booking system operated through Fieldd.co that we use to manageservice appointments.
“Scorecard” means theMiHT Home Energy Health Scorecard, a diagnostic assessment tool hosted onScoreApp that collects information about your home energy systems and delivers personalised results and recommendations.
“Services” has the meaning given in our Terms and Conditions of Sale.
2. What Personal Information We Collect
2.1 We may collect the following categories of Personal Information:
Contact Information: Your name, email address, phone number, and physical/service address.
Property and System Information: Details about your home energy systems (heat pumps,ventilation systems, solar panels), including make, model, age, condition, and location within the property.
Scorecard Responses: Your answers to diagnostic questions in the Home Energy Health Scorecard, includinginformation about your systems, maintenance habits, and household concerns.
Booking and Service Records: Details of services booked, dates, service reports, photographs taken during service visits, Home Energy Ratings, triage classifications, and technician notes.
Payment Information: Payment method details as required to process transactions. We do not store full credit card numbers; payment processing is handled by our third-party payment provider.
Communication Records: Records of correspondence between you and MiHT, including emails, phone calls, and messages through the Booking Platform.
Website and Analytics Data: Information collected automatically when you visit our Website, including IP address,browser type, pages visited, referring URLs, and cookies (see clause 8).
2.2 If you are a property manager or landlord, we may also collect information about your rental properties and tenants (limited to what is necessary to deliver Services tot hose properties).
3. How We Collect Personal Information
3.1 We collect Personal Information:
(a) Directly from you when you complete the Scorecard, make a Booking, contact us, or sign up for an Annual Care Plan;
(b) Through our Booking Platform when you create an account or schedule aservice;
(c) Through our Scorecard platform (ScoreApp) when you complete the Home Energy Health Scorecard;
(d) During service visits, including photographs and observations made by our technicians;
(e) Throughour Website via cookies and analytics tools;
(f) Through email and marketing communications when you subscribe to or interact with our emails; and
(g) From third parties where you have authorised them to share your information with us( for example, a property manager booking on behalf of a tenant).
3.2 Where possible, we collect Personal Information directly from you. Where we collect information from a third party (such as a property manager), we will take reasonable steps to ensure you are made aware of this Privacy Policy.
4. How We Use Your Personal Information
4.1 We use your Persona lInformation for the following purposes:
(h) Providing,scheduling, and delivering our Services, including generating service reportsand Home Energy Ratings;
(i) Processing payments and managing your account;
(j) Communicating with you about your Bookings, servicer eports, recommendations, and account;
(k) Sending you reminders about upcoming maintenance and Annual Care Plan renewals;
(l) Delivering your personalised Scorecard results and recommendations;
(m)Sending you marketing communications about our Services, tips, and offers (which you may opt out ofat any time);
(n) Improving our Services, customer experience, and business operations;
(o) Generating anonymised and aggregated data for research, reporting, and publication purposes (such as regional home energy health insights); and
(p) Complying with our legal obligations.
4.2 We will only use your Personal Information for the purposes for which it was collected, or for a directly related purpose that you would reasonably expect, unless we obtain your consent for a different use.
5. Who We Share Your Information With
5.1 We will not sell your Personal Information to third parties.
5.2 We may share your Personal Information with the following trusted service providers who assist us inoperating our business:
(q) Fieldd.co— our online Booking Platform, used for scheduling, service management, andcustomer communications;
(r) ScoreApp — the platform hosting our Home Energy Health Scorecard, which processes your scorecard responses and contact details;
(s) Payment processors — for secure processing of creditcard and other payment transactions;
(t) Email marketing platforms — for sending servicereminders, nurture emails, and marketing communications; and
(u) Cloud hosting and data storage providers — for secure storage of service records,reports, and business data.
5.3 These service providers are required to handle your Personal Information in accordance with appropriate privacy safeguards. Where service providers are located outside New Zealand, we take reasonable steps toensure your information is afforded a comparable level of protection.
5.4 We may also disclose your Personal Information where required or authorised by law, to enforce our Termsand Conditions, or to protect the rights, property, or safety of MiHT, our customers, or others.
5.5 If MiHT’s business is sold,merged, or restructured, your Personal Information may be transferred to the successor entity as part of that transaction. We will take reasonable steps toensure the successor entity is bound by obligations consistent with this Privacy Policy.
6. Data Storage and Security
6.1 We take reasonable steps to protect your Personal Information from unauthorised access, use, modification,disclosure, or loss.
6.2 Our security measures include the use of secure platforms, password protection, access controls, and encryption where appropriate. Service reports and photographs are stored insecure cloud-based systems with restricted access.
6.3 Some of our service providers store data on servers located outside New Zealand (including Australia, the United States, and the European Union). Where this occurs, wetake reasonable steps to ensure your information is protected in accordancewith applicable privacy standards.
6.4 While we take allreasonable precautions, no method of electronic transmission or storage is 100%secure. We cannot guarantee absolute security of your Personal Information.
7. Data Retention
7.1 We retain your Personal Information only for as long as is necessary to fulfil the purposes for whichit was collected, or as required by law.
7.2 Service records (includingr eports, photographs, and Home Energy Ratings) are retained for the duration ofyour customer relationship and for a reasonable period thereafter to support warranty claims, dispute resolution, and historical service tracking.
7.3 Scorecard data is retainedin accordance with ScoreApp’s data retention policies and our own recordsmanagement practices.
7.4 When Personal Informationis no longer required, we will take reasonable steps to securely destroy orde-identify it.
8. Cookies and Website Analytics
8.1 Our Website uses cookies andsimilar technologies to improve your browsing experience, analyse websitetraffic, and understand how visitors interact with our site.
8.2 Cookies are small text filesstored on your device when you visit our Website. We use:
(v) Essential cookies — required for the Website tofunction correctly (e.g., session management);
(w) Analytics cookies — to help us understand how visitors use our Website, including page views, traffic sources, and user behaviour (e.g., Google Analytics); and
(x) Marketing cookies — to deliver relevant advertising andtrack the effectiveness of our marketing campaigns.
8.3 You can manage your cookie preferences through yourbrowser settings. Disabling certain cookies may affect the functionality of ourWebsite.
8.4 Where we use third-party analytics providers such as Google Analytics, these providers may collect andprocess data in accordance with their own privacy policies. We encourage you to review those policies.
9. Marketing Communications
9.1 If you complete our Scorecard, make a Booking, or otherwise provide your contact details, we maysend you marketing communications about our Services, maintenance tips,seasonal offers, and home energy insights.
9.2 All marketing communications will include a clear and easy option to unsubscribe. You may opt out at anytime by clicking the unsubscribe link in any email or by contacting usdirectly.
9.3 Opting out of marketing communications will not affect transactional communications (such as Bookingconfirmations, service reports, and Annual Care Plan renewal notices).
10. Photographs and Service Documentation
10.1 As described in our Terms and Conditions (clause 16), our technicians take photographs during servicevisits to document findings, demonstrate work completed, and support yourservice report.
10.2 Photographs are of yourhome energy system equipment only. Our technicians will not photograph personalbelongings, other areas of your home, or any persons present at the property.
10.3 We may use anonymised before-and-after photographs for marketing, training, or educational purposes.Where any photograph could identify your property, we will seek your expressconsent before publishing it.
10.4 You may request that we donot use your service photographs for any purpose beyond your own service reportby notifying us in writing.
11. Your Rights
11.1 Under the Privacy Act 2020,you have the right to:
(y) Request access to the Personal Information we holdabout you;
(z) Request correction of any Personal Information that isinaccurate, incomplete, or misleading; and
(aa) Request deletion of your Personal Information where itis no longer required for the purpose for which it was collected (subject toany legal obligations requiring us to retain it).
11.2 To exercise any of these rights, please contact us usingthe details in clause 14. We will respond to your request within 20 working days, as required by the Privacy Act 2020.
11.3 If you are not satisfied with our response to a privacy request, you may lodge a complaint with the Office of the Privacy Commissioner at www.privacy.org.nz.

12.1 Our Website may containlinks to third-party websites or services. We are not responsible for theprivacy practices or content of those third-party sites. We encourage you to review the privacy policies of any external sites you visit.
13. Changes to This Privacy Policy
13.1 We may update this Privac yPolicy from time to time to reflect changes in our practices, technology, orlegal requirements. The most current version will always be available on ourWebsite.
